The best way to contact the staff is to call directly on the hotel's phone, they speak English. Usually italians don't read e-mails. The hotel is about 1 hour far away from the airport. It is cheaper to take a bus till Termini Central Station and from there a taxi. The bus costs 15 euro to go from airport to Termini and from Termini to the airport. The taxi costs 15 euro from Termini to the hotel and it is easy to find. Otherwise you can ask the bus driver. The taxi from the airport to hotel costs about 100 euro. Have a nice trip!
I would make a reservation as soon as you know your dates for visiting Rome. You don't need to pay a deposit although they do take your credit card details. I believe it is possible to cancel up to 7 days before you arrive.
